Compare like-for-like service scope
An entry email helpdesk and an omnichannel service suite are different purchases. Write down whether you need email only, live messaging, phone, customer self-service, multilingual content, or contractor collaboration. Obtain the quote that includes those requirements rather than adding loosely related product prices from memory.
Freshdesk's pricing FAQ says its included trial AI sessions are a one-time account allowance, not a fresh recurring monthly pool. Build entities and rules instead of more labels
If the pilot reveals that a ticket is hiding several independent processes, separate them. A location, an asset, a work order, a contractor assignment, and an inspection are not the same record. Keep the support ticket linked to the work order, but let the work order own the operational truth. That makes it possible to answer “what is waiting, on whom, and since when?” without inferring the answer from the latest email.
The custom layer should accept updates through controlled commands. A contractor can submit completion evidence for an assigned job, but should not choose the customer-visible resolution status or edit another contractor's quote. Then test the failure path. Revoke the integration credential, restore it, and reconcile updates created during the outage. Have an operator locate a work order using the original customer's request.
