Tally vs Typeform vs Build Your Own

A lead asks for a service that is available only in certain locations and within a capacity window. Collecting every possible answer before rejecting the request wastes the customer's time and leaves staff to explain the decision. A better qualification flow establishes fit early and offers a useful next step.

Our recommendation: start with a hosted form when the qualification rules are simple and stable. Tally's free capabilities deserve a serious trial before commissioning a custom form. Evaluate Typeform when its interaction and integrations fit the intended audience. Build a decision service when qualification depends on live business data and must be explainable.

Separate presentation from authority

Conditional visibility improves the experience: a commercial customer can see different questions from a household customer, and an ineligible location can take a shorter path. Tally documents that kind of routing. It does not turn a browser field into authoritative proof that a lead qualifies for an offer. Tally conditional logic.

Suppose capacity changes while someone is filling out the form. A rule copied into the form last week may show an appointment option that is no longer available. Put the current capacity decision in a service that owns that information. The form can collect the necessary inputs; the service can return an available next step, a waiting list, or a reasoned referral.

The same principle applies to prices. A user-controlled URL parameter or hidden answer should not determine the amount charged. Compute the accepted price from trusted rules and record the version used. If the process requires an exception, route it for review and preserve the reason instead of allowing a staff member to quietly overwrite the qualification result.

Compare cost per useful lead

A response allowance is not the same as a qualified opportunity. Forecast normal traffic, campaign spikes, spam, and incomplete submissions. Tally's fair-use condition deserves review for the intended volume. Typeform's plan allowance should be checked against the entire campaign rather than a quiet month. A plan that fits traffic but lacks required collaboration or branding is not the final estimate. Tally pricing; Typeform plans.

For a custom build, include the database, authentication if needed, email delivery, anti-abuse measures, monitoring, and a responsible maintainer. Measure avoided staff qualification time and improved routing against those costs. Do not attribute an assumed conversion lift to a custom interface without testing it on the actual audience.

Webhooks can keep the handoff timely, but your endpoint needs to acknowledge and persist submissions reliably. Typeform's historical Responses API can lag very recent submissions; it is useful for reconciliation rather than proof that an immediate webhook was lost. Test both paths and deduplicate using stable identifiers. Tally webhooks; Typeform webhooks; Typeform Responses API.

A first build that has a clear boundary

Keep the form if customers can complete it easily. Build a qualification service that accepts a validated submission, checks territory and capacity, produces a reason-coded decision, and records the next action. A small operator screen should show blocked leads, overrides, and failed downstream deliveries. Retain the CRM, scheduler, email service, and payment processor rather than recreating them inside the form project.

Version qualification rules. A lead rejected yesterday should remain explainable after the territory expands tomorrow. Store only the personal information needed for the work, restrict access to assigned staff, and define how records expire. If different teams own different territories, test that they cannot inspect one another's records through exports or search.

Pilot one service and one campaign. Compare completion, valid qualification, staff correction time, and successful next-step delivery. Buy when static logic is sufficient. Extend when one live decision makes the flow trustworthy. Build the full experience when the domain interaction itself is too complex for a form and there is a clear owner for its reliability.

Frequently asked questions

Should lead qualification be fully automated?

Automate clear rules and keep a review path for exceptions. Record the reason for a route so a person can correct it. A missing answer should not quietly become a definitive rejection.

What would a first custom lead qualification flow include?

Keep a versioned qualification policy connected to current service coverage and capacity. Ask the minimum questions needed, explain the resulting route, and create an inquiry linked to the answers and policy version. Send borderline cases to a review queue instead of silently discarding them.

How should we compare the cost of Tally, Typeform, and a custom build?

Include the time spent reviewing unsuitable leads and maintaining qualification rules. Custom maintenance should be weighed against configuration in an existing form product. Compare the same scope and planning horizon, including implementation, retained services, maintenance, and support. A lower subscription bill alone does not establish a lower total cost.
