
A customer says an import is stuck. The agent needs the account, the job state, the last error, and a safe way to restart it. A more attractive inbox will not resolve the case if those facts remain spread across internal tools.
Our recommendation: buy the customer communication system, and consider building the product-specific context and actions around it. Zendesk and Intercom both offer substantial support platforms. Replacing either with a generic chatbot and a messages table would omit much of the operational work you are paying them to perform.

AI outcome counts are not interchangeable
Intercom's pricing explanation defines a Fin outcome through several conditions, including confirmation, absence of further requests after an answer, or completion of a Procedure, including handoffs. Zendesk describes automated resolutions as successful AI resolutions without human escalation. Those are vendor billing definitions, not a common quality metric. Use your own resolution measure as well: did the import finish, did the customer avoid reopening the issue, and was the remedy correct? Review a sample of conversations that the vendor counts as resolved or completed. A usage bill can be internally correct while your business still pays for substantial human follow-up.
Do not compare the entry seat alone. Add the required channel bundle, full agent seats, AI usage, optional assistants, and the governance features that the security review requires. Include the time spent maintaining help content and evaluating generated answers. Those costs can outweigh a small difference in headline seat price.

The strongest build is often a safe action panel
For the import example, build a panel that retrieves the account and job by trusted identifiers, shows the relevant failure, and offers only valid next actions. A retry endpoint should check the agent's authorization, confirm the job is still retryable, and record who requested it. Require an explanation for destructive or exceptional changes. The interface should surface the result and a correlation identifier that engineering can investigate.
Keep the command separate from the display. Hiding a button is useful presentation, but the service must enforce permission again when the request arrives. A stale page must not allow an agent to rerun a completed job or apply the same credit twice. Use an expected version or equivalent concurrency control when an action depends on current state.
If an AI assistant proposes a remedy, treat the proposal as untrusted input to that same service. Constrain permitted operations and arguments. Test misleading customer instructions, wrong-account identifiers, and cases where the knowledge base is outdated. The useful automation is a controlled action with an observable result, not merely a confident response.
Plan the migration and fallback before replacing anything
Zendesk's incremental export API documents pagination and a delay for the most recent minute of ticket changes. An export job must preserve its position and reconcile later updates. Intercom's conversation API provides several retrieval paths, but the existence of an endpoint alone does not prove your archive contains every field and attachment needed for a migration. Retain email delivery, live messaging, telephony where used, identity, the help center, and the customer support on-call process until the replacement scope has been proven. Run the new context panel with a small group of agents first. Track case completion, correction rate, reopens, and time spent switching tools.
Buy the platform that makes the complete service operation manageable. Extend it when missing product context is the real bottleneck. Replace the broader helpdesk only if the remaining scope is deliberately narrow and your team can own channel delivery, search, retention, routing, access, and incident response for the life of the system.
