
A distributor may sell through a partner, install at a branch, invoice a parent organization, and assign commission to a regional manager. Put all of that into one “company” field and the pipeline report becomes an argument about whose spreadsheet is correct.
Evaluate Zoho CRM and Salesforce as configurable platforms before assuming a custom account model is required. The build case is strongest when effective-dated relationships, partner visibility, or cross-system quoting create a persistent gap. A targeted partner layer can be a better investment than replacing every seller's CRM.

Zoho's comparison page displayed multiple currencies in the same extracted view, including a regional Starter offer. The USD figures above apply only to the explicitly dollar-denominated Standard and Professional columns. Use a regional quote for tax, bundles, support, and renewal terms. Relationship history is the hard part
The current account owner is not always the person who should receive credit for last quarter's sale. Model an assignment as an interval with a start date, end date, and reason. An organization can have several locations; a location can change its service partner without changing the billing entity.
Ask both vendors to demonstrate this with your own sample records. “Supports custom fields” is not a sufficient answer. Show an account transfer halfway through a reporting period, then reproduce the report before and after the transfer. The underlying rule should be visible enough that a sales manager can explain the result.
Salesforce documentation is explicit that sharing rules grant additional access; they do not narrow a permissive baseline. Zoho Blueprint addresses process progression, with states and transitions assigned to the appropriate people. That gives a concrete configuration path to test before writing a new state machine. Stress the integration before it becomes critical
Zoho's limits are not simply “requests per minute.” They combine API credits, edition concurrency, and sub-concurrency for heavier operations. A nightly import can therefore interfere with interactive workflows even when average daily usage looks modest. For either vendor, record external identifiers, retry failed writes safely, and reconcile accepted orders against created opportunities. A successful HTTP request is not evidence that every line item, relationship, or attachment migrated correctly. Keep source totals and exception reports until finance and sales agree on the result.

The custom option should own the unusual boundary
Start with organizations, locations, relationships, ownership assignments, quote requests, and approval events. Preserve stable IDs from the existing CRM and accounting system. A partner manager needs a relationship view; a service coordinator needs installation context; neither needs a new general-purpose CRM settings console.
Retain accounting, tax calculation, payment processing, email delivery, and electronic signatures. Treat the signed order and ledger as authoritative in their respective systems. A custom operational database can reference them without recreating their specialized responsibilities.
Ownership means more than possessing a repository. Require database migrations, restore instructions, permission tests, and a maintainer who can take over from the original builder. Plan for a bulk correction when a relationship rule was wrong for months. The ability to write SQL is useful only when someone understands the consequences.
Choose on evidence, not license arithmetic
Compare three-year costs with the same account scope: licenses, implementation, administrator time, partner access, API capacity, cleanup, support, and future changes. Zoho may present a lower initial seat price, but that does not establish the cost of your complete workflow. Salesforce's broader contracted platform may be valuable if you actually use it. A build may reduce workaround labor while retaining most existing licenses.
Choose Zoho when its configured model and Blueprint satisfy the process with manageable administration. Choose Salesforce when its relationship and access model fit the wider sales organization and you can support that platform. Build a focused partner layer when neither configured trial resolves the precise gap. Do not replace a working sales platform merely to avoid writing down the ownership rules.

Does a custom data model remove vendor lock-in?
It can make records and relationships easier to export, but dependencies remain in hosting, libraries, integrations, and the maintainers' knowledge. Document the schema and prove that another developer can operate the system.
What would a first custom account management system include?
Create organizations, locations, partner relationships, opportunities, and ownership assignments as separate records. Record effective dates when an account changes hands. Build a quoting request queue and a permission-aware account view. Leave accounting entries in the accounting system and use identifiers to connect the records.
How should we compare the cost of Zoho CRM, Salesforce, and a custom build?
Include the people who maintain relationship rules and repair imports. For custom software, estimate the cost of historical data cleanup separately from building the interface. Compare the same scope and planning horizon, including implementation, retained services, maintenance, and support. A lower subscription bill alone does not establish a lower total cost.
